Email etiquette is essential in today’s professional world. To create a professional email, you need a formal salutation, personalized signature, clear subject lines, proof-reading, and thorough proofreading. However, today we’re going to focus on one critical aspect of how to start an email – placing recipients in the proper fields.
It’s not as simple as you might think. There are three fields that you need to fill out when you send an email: TO, Cc and Bcc. Here at B12, we’re here to define each of these and explain when and how to use them. These fields will ensure that you communicate with your recipients smoothly and prevent embarrassing errors.
The “To” field is the most obvious recipient field. This field is for your main recipients. These recipients should be the focus of your message. In response to your email, you can expect a reply from the “To” recipients. Multiple people can be included in the “To” field as long as they meet these criteria.
Remember that all recipients of an email, regardless of whether they are “Cced”, or “Bcced”, will be able see who was placed in the “To” field.
To address the primary recipient of your email, use the “To” field.
If you send an email asking for information about the status of a project’s progress, make sure to include the names and addresses of the main contributors. This will let them know that they are expected to respond or take the appropriate action. They will also be notified of any future emails that are included in the email chain.

If your Cc recipient lists are long:You might consider “Bccing” if you are “Cc-ing” more than 5-6 people. It can be distracting to include too many people’s email addresses. It can also be distracting, especially if the recipients don’t know each other.
You can expect a reply:We’ve already explained that the “To” field should be used only if you expect a response immediately. Cc-ing sends the message that your email address is only a courtesy. If you need a reply, “Cc” is misleading.
“Bcc”, which stands for “blind Carbon Copy,” keeps recipients’ email addresses secret. The BCC list is secretive and only the sender can see it.
Bccc works differently with email threads. Bcc recipients will not receive replies to “To” or “Cc”, but they will be able to reply in the future. They will only be able to receive the first email. You’ll need to forward any subsequent emails that might concern them.
